Cancellation Policy

Self-Scheduling Clinical Policy 1. Purpose This policy outlines expectations and requirements for students who self-schedule their clinical hours. Because instructors may travel long distances and clinical partners limit the number of assigned students, attendance and professionalism are mandatory once a student selects a clinical schedule. 2. Student Responsibility When Self-Scheduling Students are responsible for reviewing available clinical dates and scheduling themselves in the designated system (e.g., Wix booking calendar or other approved platform). Once a student selects and signs up for a clinical day or week, attendance is mandatory. Students must confirm they meet all prerequisites (uniform, compliance documents, transportation, health clearance, etc.) before signing up. Students are expected to arrive on time, prepared, and in full compliance with dress code and conduct standards. 3. Cancellation Requirements Cancellations must be made no later than 6:00 PM the evening prior to the scheduled clinical day. Cancellations must be submitted through the official method designated by the program (email, portal, calendar cancellation, etc.). Cancellations after 6:00 PM or same-day cancellations are treated as a no-show. 4. No-Show / Late Cancellation Consequences A no-show is defined as: Failure to report for a scheduled clinical without proper cancellation before 6:00 PM the prior evening Arriving more than 30 minutes late Being removed from the site for dress code or professionalism issues Cancelling after the 6:00 PM deadline Disciplinary process for no-shows: Offense Consequence First no-show Student must secure their own alternative clinical site or may be dropped from the current rotation at the program’s discretion. Second no-show Immediate dismissal from the program with no refund. Student must re-enroll and pay $800 to begin a new clinical rotation. The program is not obligated to assign or locate a replacement clinical site after a no-show. 5. Instructor & Site Considerations Instructors are assigned based on the number of students scheduled. Many instructors travel long distances to clinical locations. Failure to attend after signing up disrupts the site, the instructor schedule, and other students’ hours. Because of this, strict enforcement is necessary for fairness and professionalism. 6. Acknowledgement Required All students must sign the Self-Scheduling Clinical Policy Agreement before being granted access to the scheduling system.
